1. Acceptance of Terms
By accessing or using TravlOps (“the Service”), you agree to be bound by these Terms of Service and our Privacy Policy. If you are accepting on behalf of a company or other legal entity, you represent that you have authority to bind that entity.
We may update these Terms from time to time. We will notify you of material changes by email or via a notice within the platform at least 30 days before the changes take effect. Continued use after changes constitutes acceptance.
2. Service Description
TravlOps is a multi-tenant Software-as-a-Service (SaaS) platform for travel agencies. The Service includes:
- CRM and lead management tools
- Tour calendar and booking management
- WhatsApp messaging and automation (via Twilio)
- Visual itinerary builder and flyer generator
- Invoice generation with GST compliance
- Team management and role-based access control
- Analytics and reporting dashboard
We reserve the right to modify, suspend, or discontinue any feature with 30 days notice. We will not reduce core CRM functionality without providing a migration path.
3. Account Responsibilities
- You are responsible for maintaining the confidentiality of your account credentials and for all activity under your account.
- You must provide accurate information during registration. Commercial accounts must represent a legitimate travel business.
- You must be at least 18 years old and legally authorized to enter contracts under applicable law.
- You are responsible for all users you invite to your team. Their actions under your agency account are your responsibility.
- Notify us immediately at security@travlops.com if you suspect unauthorized access or a security breach.
4. Subscription & Billing
TravlOps offers monthly and annual subscription plans. All billing is handled by Stripe.
- Billing Cycle: Monthly subscriptions are billed on the same day each month. Annual subscriptions are billed yearly in advance with a discount.
- Upgrades: Immediate effect; you are charged a prorated amount for the remainder of the current billing period.
- Downgrades: Take effect at the next billing cycle. No refund for the remaining current period.
- Refund Policy: If you cancel within 7 days of a new subscription or upgrade, you are eligible for a prorated refund for the unused days. After 7 days, no refunds are issued for the current billing period. Annual plans are non-refundable after 30 days.
- Failed Payments: We will retry failed payments 3 times over 7 days. If payment fails, your account will be downgraded to read-only mode. Data is preserved for 30 days.
- Taxes: Prices are exclusive of applicable taxes. GST (18%) will be added for Indian businesses.
5. Acceptable Use Policy
You agree not to use the Service to:
- Send unsolicited commercial messages (spam) via the WhatsApp or email features
- Violate any applicable law, including India's IT Act, GDPR, or CCPA
- Sell, resell, or sublicense access to TravlOps to third parties without written consent
- Upload or transmit malicious code, viruses, or any harmful content
- Attempt to reverse-engineer, scrape, or extract our source code or data
- Use the AI chat feature to generate harmful, illegal, or deceptive content
- Impersonate any person, entity, or TravlOps itself
Violations may result in immediate account termination without refund.
6. Intellectual Property
- Platform IP: TravlOps owns all rights to the platform, software, design, trademarks, and documentation. Nothing in these Terms transfers ownership of platform IP to you.
- Your Data: You retain full ownership of all CRM data, customer records, itineraries, and any content you create within the platform. We process your data as a data processor on your behalf.
- Feedback: If you provide feature suggestions or feedback, you grant TravlOps a royalty-free, perpetual license to use that feedback to improve the Service.
7. Data Processing (GDPR)
Where you process personal data of EU/EEA residents through TravlOps, you act as the data controller and TravlOps acts as the data processor under GDPR. We will:
- Process personal data only on your documented instructions
- Implement appropriate technical and organizational security measures
- Assist you in fulfilling your obligations under GDPR Articles 32–36
- Delete or return all personal data upon termination of the Service
- Notify you within 72 hours of becoming aware of a personal data breach

8. Disclaimer of Warranties
THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE” WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT.
We do not warrant that the Service will be uninterrupted, error-free, or completely secure. We target 99.5% uptime and publish our status at status.travlops.com (planned).
9. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, TRAVLOPS'S TOTAL LIABILITY ARISING OUT OF OR RELATED TO THESE TERMS OR THE SERVICE SHALL BE LIMITED TO THE AMOUNTS YOU PAID TO TRAVLOPS IN THE THREE (3) MONTHS IMMEDIATELY PRECEDING THE CLAIM.
IN NO EVENT SHALL TRAVLOPS BE LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING LOSS OF PROFITS, DATA, OR GOODWILL.
10. Termination
- By You: You may cancel your subscription at any time from Settings → Billing. Cancellation takes effect at the end of the current billing period. You may export your data before cancellation.
- By Us (for convenience): We may terminate your account with 30 days notice. You will receive a prorated refund for unused subscription days.
- By Us (for cause): We may terminate immediately for material violations of these Terms, including the Acceptable Use Policy, fraud, or non-payment.
- Data After Termination: Account data is retained in read-only mode for 30 days after cancellation, then permanently deleted.
11. Governing Law & Disputes
These Terms are governed by the laws of India. Any disputes shall be subject to the exclusive jurisdiction of the courts in Bangalore, Karnataka, India.
Before initiating any legal proceedings, both parties agree to attempt to resolve disputes in good faith through written notice and a 30-day negotiation period.
